This system allows you to request your preferred appointment date and time online based on available options shown to you. Please note: At this time, this system is available only for new patients referred to the Neo Clinic as part of a pilot program.

    The Appointment Request System is not publicly available through our website. Access is provided by invitation only and is issued by NEO Clinic staff via email or text message. Patients who have not received an invitation will not be able to request an appointment through this system. If you believe you should have received an invitation but have not, please contact the clinic by phone or email for assistance.

  • The Appointment Request System (ARS) is used for clinic-wide appointment booking and is designed to support efficient scheduling for both patients and clinic staff. NEO Clinic receives referrals from healthcare providers, which are reviewed and triaged by the clinic team. Once a referral has been triaged, the patient is added to the clinic waiting list.

    When an appointment becomes available, clinic staff will send an ARS invitation to the patient using the contact information on file. Invitations may be sent by text message to the patient’s mobile number, by email, and through a pre-recorded voice call to the phone number provided. If a valid mobile number or email address is not available, ARS cannot be used for appointment requests.

    After a patient submits a preferred appointment time through ARS, clinic staff will review the request and, if approved, confirm the appointment in the clinic’s Electronic Medical Record (EMR). An official appointment confirmation will then be sent to the patient.

  • Submitting a preferred time through the Appointment Request System does not constitute a confirmed appointment. Once a request is submitted, it is reviewed by our administrative team based on clinic operations, staff availability, and patient priorities. If the request is approved, an official appointment confirmation will be issued through our Electronic Medical Record (EMR), the TELUS Collaborative Health Record (CHR). Appointment confirmations are sent by email and text message. An appointment is not considered booked until this official confirmation has been received.

    Please note that the confirmed appointment time may differ slightly from the time requested. If the confirmed time is not suitable, patients may contact the clinic to request rescheduling.

  • Our Appointment Request System is hosted on secure servers located in Canada, and all personal information is protected in accordance with applicable Canadian privacy legislation. Patient information collected through this system is used solely for appointment-related purposes and is not shared with third parties.

    Patients may receive appointment-related communications by email from reception@neoclinic.ca, by phone call or text message from 613-383-2393, or through automated calls from 613-789-9910. Patients who prefer not to use the Appointment Request System may contact the clinic directly by phone or email to arrange an appointment.
